1. Who we are
Federico Ozanam Conference (“we”, “us”, “the conference”) is a volunteer-run assistance organisation based at 752 Magazine Street, Lansing, Michigan 48924, USA. Our director and the person responsible for data matters is Jessica Rodriguez. This policy applies to https://ssvpconferenciafedericoozanam.org and to the personal information we handle in the course of our programs.
2. Information we collect
We collect only what we need. That falls into three categories:
- Information you give us voluntarily — name, email address, telephone number, ZIP code and the content of your message when you use our contact form, email us, or call the office. Where you apply for assistance, we may additionally record household composition, the nature of the need, and documents you choose to show us.
- Information collected automatically — standard server log data such as IP address, browser type, operating system, referring page, and the pages you view. This is generated by our web host for security and diagnostics.
- Cookie and analytics data — described in section 7 and in our Cookie Policy.
We do not knowingly collect information from children under 13, and we do not request Social Security numbers, bank credentials or payment card details through this website.
3. How we use information
We use personal information to respond to your enquiry, assess and deliver assistance, coordinate volunteers, meet our record-keeping and audit obligations, maintain the security of the website, and (where you have opted in) send our monthly newsletter. We do not use personal information to make automated decisions about you.
4. Legal bases and consent
Where you submit a form or subscribe to the newsletter, we rely on your consent, which you may withdraw at any time. Where we process case records, we rely on our legitimate interest in delivering the assistance you asked for, and on our obligation to keep accurate records of charitable disbursements.
5. Sharing your information
We do not sell, rent or trade personal information. We share it only in these limited circumstances:
- With a utility company, landlord or vendor, strictly to the extent needed to pay a grant on your behalf and only with your knowledge.
- With a partner agency, when you ask us to make a referral on your behalf.
- With service providers who operate our website, email and hosting infrastructure, under contractual confidentiality obligations.
- Where required by law, court order, or to protect someone from imminent harm.
6. Retention
Contact-form correspondence is retained for up to 24 months. Case records supporting a financial grant are retained for seven years to satisfy audit requirements, after which they are destroyed securely. Newsletter subscriptions are retained until you unsubscribe.
7. Cookies and analytics
This website uses a small number of cookies. Strictly necessary cookies keep the site working and remember your cookie choice. Optional analytics cookies help us understand which pages are used, in aggregate. Optional cookies are only set after you accept them in the banner. 8. Your rights and choices
You may ask us to confirm what personal information we hold about you, provide a copy of it, correct it if it is wrong, delete it where we are not required to keep it, or stop sending you email. Requests are handled within 30 days at no charge. Michigan and United States residents, including California residents exercising rights under the CCPA/CPRA, may make the same requests; we do not sell or share personal information for cross-context behavioural advertising.
9. Security
Case records are stored on access-controlled systems with encryption in transit, and paper documents are held in a locked office. Only coordinators and the volunteers assigned to a case may view a record. No system is perfect, and we will notify affected individuals promptly if a breach materially affects them.

Our Resources page links to external organisations for your convenience. We do not control those websites and are not responsible for their content or their privacy practices. Please read their policies before providing information.
11. International visitors
Our services are directed to residents of the Lansing, Michigan area, and our infrastructure is located in the United States. If you access this website from outside the United States, you understand that your information will be processed in the United States.
12. Changes to this policy
We review this policy annually and whenever our practices change. The effective date at the top of this page always reflects the current version, and material changes will be announced on our home page for at least 30 days.
